Letter of request
The letter of request is a formal letter that asks for something. So the person who writes this letter has an issue and is asking for a change in a situation. Since it is a formal request for something, the issue or problem that you are having must be very clear because you are seeking a favourable response to your request. The explanation for the issue must cover what, where, when, how, who, and, where possible, why. Like the letter of complaint, contact information is also relevant, along with a serious tone, because you have a serious issue that needs to be addressed. Please be polite because you do not want to alienate the person who might solve your problem.
Checklist for Letter of Request
- Purpose & Clarity - State the purpose of your letter clearly, in the opening sentence, with no ambiguity.
- Background/ Context - Briefly explain the situation that led to the request, including relevant details such as dates, events, or prior communication.
- Details of the request - State exactly what you are asking for: permission, assistance, information, extension, or support, and avoid vague or open-ended wording.
- Justification - Explain why the request is necessary and highlight benefits, urgency, or relevance, while keeping your tone polite.
- Timeline for response - indicate when you need the response or action.
- Contact information - Provide the following: your full name, address, phone number, and / email address, where appropriate.
- Tone & Professionalism - Keep your tone firm but professional, use a formal format and correct grammar, and avoid insults, threats, or emotional language.
- Closing - Thank the recipient for their attention, sign the letter, and use a formal closing, for example, sincerely or respectfully.
